 SINGLE SIGN-ON AND TRAINING REPORTS DIRECTION

Over the next few months we will be implementing Single Sign on in Scoutbook.  This will enable you to directly access features in MyScouting directly from Scoutbook.  As you may know, the training reports in MyScouting have been improved lately.  We will be linking directly to those reports in the future where it is appropriate and retiring some of the Scoutbook training reports.    This will allow the BSA to focus on improving one set of reports for the entire organization.  The intention is to allow those in Scoutbook who currently access to training reports in Scoutbook have to have seamless access to the training reports in MyScouting.  If you have suggested improvements or requests for the reports in MyScouting, please send them to: myscouting@scouting.org.

Single sign on will also allow us to link directly to the BSA Learn center from Scoutbook so that members can take online training without having to log into a different system.

The overall benefit of Single Sign-on is to more fully integrate our systems and to reduce the number of separate logins required for access as well as to provide better security.  It will take a few months to implement all of what we would like to see.  We appreciate your patience during this time of construction.

 

IMPROVED AUDITING

The following has been requested by several units.  We have implemented auditing so that any requirements, advancement or awards that are marked complete, approved or awarded will now display the name of the user who made the update and the date it was done. Note this data is only available for items changed after 11:00 AM Central on June 6, 2018. Items changed prior to this time will not have this information available through the name of the leader who approved the item without the date is still displayed.

For example, if a requirement was marked completed, approved and awarded on June 6, 2018, below the requirement will be:


Marked Completed on Jun 6, 2018 by Baden Powell
Leader Approved on Jun 6, 2018 by Baden Powell
Marked Awarded on Jun 6, 2018 by Baden Powell

This information will also be included in new columns of the Export/Backup advancement.csv file. The new column names are MarkedCompletedBy, MarkedCompletedDate, LeaderApprovedBy, LeaderApprovedDate, AwardedBy and AwardedDate

An audit log report is in development that will show this data. We expect it to be available by the end of June.

A future update will add the name of the person who completed requirements to the Needs Approval report. Currently, we do not have a target release date for this update.

 

LION PROGRAM IS ACTIVE

The Lion pilot program has ended and all packs are now permitted to have Lions. Scoutbook has been updated to allow any non-LDS unit to add one or more Lion dens. To add a Lion Den, click +Add Den on your pack's page. Select Lion and enter the den number. Scoutbook has not yet been updated to change the Lion Den's leader type to Den Leader. Continue to use Lion Guide as the den leader for Lion Dens in Scoutbook.

 

COMMUNITY UNITS: TIME TO ADVANCE YOUR DEN

If you did not advance the Den yet, this is a great time for Maintenance with the school year ending. Please remember to manually move all youth to their new grade.  Pack and Den administrators can do that by clicking on the den, then Edit Den, then click on Advance Den.

    What is the chance that, when creating a calendar event or activity, we could also generate a charge or fee to which the parent has the opportunity to pay. I'm thinking about such activities as paying for campouts or summer camp to the troop.

    I love that suggestion Patrick Mongell!
    I use SmartSheet extensively at work (on an Enterprise level) and this could also be a cost effective way to provide a collaborative approach to many aspects. For instance, obtaining lists of information from Leaders without having to "compile all" at the end; could also provide real time access to our Units financials/treasurer reports, etc. Lots of opportunity in this space.

    I would really love to see improvements to the reporting suite. The attendance reporting is horrible and the custom reporting only has a few options. I would love to create a report that tells me when every leader's YPT is due to expire. The custom reporting doesn't allow me to build any reports around the leaders. Just the scouts. A household information report and a leader list report would be good as well.

    Also, an "announcement" section on the main page where we can put pertinent information for the pack.

    Also, what does everyone do about documents. Trooptrack had a section for uploading files. We are using a Google Drive account now.

    Regarding Rob's Documents quesiton, we maintain TroopWebHost for Documents and financial accounting/reporting. We use Scoutbook for advancement. Trying to keep two websites upto date is challenging, but sofar Scoutbook has been too limiting regarding documents and accounting. We have to maintain two calendars, one to collect the money for events and track scout accounts (troopwebhost) and a mirror in scoutbook to track signup/attendance for the same events. Its not ideal but it works.

    Rob, you can use Roster Builder (different from Report Builder) for adult training reports, household information reports, or leader lists. There is also a volunteer created and supported Feature Assistant Extension for Scoutbook that has more YPT and training report options. Details on the extension are at the following link:

    Regarding training reports - Scoutbook has the ability to add multiple positions to a scouter and show their training for each one. If someone is doing more than one job, I like that option - I can see if they are trained in each of their responsibilities. If Scoutbook training reports go away, and My.Scouting only allows one position per person per unit, then we have moved backward. As an example, a den leader could also have a responsibility for a JTE category for the pack committee - they should be trained as a den leader AND as a committee member. I want to see both positions in a report. For unit statistics, count the person only once, and they are not trained if they are not current on ALL positions.

    An individual member can now go to the Dashboard in MyScouting Tools then Requirements, to see where their training stands for all the positions they are in.
    A person is only registered in one position in a unit at one time, so that is why on the unit reports you only see one position trained information.

    Advance Den is under Edit Den. I recommend starting with the Bear Den (you can't advance a Webelos Den as Scouts working on AOL are in a Webelos Den) and working your way down to Lions.

    Any chance there is going to be a update to identify adult leaders who are in the OA? I am Brotherhood but there is no where in my profile I can put in my OA information. Also another update I would like to see is having merit badges or the hiking and camping days or miles update to where it syncs with scout awards instead of having to physically going in and putting the info in. That way a scout can see where he is at on awards such as the Paul Bunyan or national outdoor activities awads.

    Advancements are great but it is critical for you to add the retention and access to Sent Messages in order for Packs/Troops to use this is a manner that is supportive of Youth Protection. Our Pack refuses to adopt Scoutbook because the Cubmaster has no visibility to what others might be sending in blast messages.

    The only Youth Protection requirement with electronic communications is that there be no one-on-one communication with youth. Scoutbook meets this requirement by automatically copying the parent on any communication sent from Scoutbook to a Scout. There is no Youth Protection requirement that a leader receive a copy of every piece of communication sent. Even if Scoutbook were to store messages, they would probably only be accessible to the sender and receivers, not to everyone in the unit.

    The RSVP feature on calendar events is nice but it would be nice to be able to add a headcount feature that we can print. There are several events that we have to order tickets for and a head count feature that consists of more then parent and scout would be greatly appreciated.

    This is a known issue (see the forums for MANY discussions on this). You need to complete Shooting Sports without checking Leader Approved then use the Needs Approval report to approve them. A fix is currently being tested.

    In the send message area; sorry if this is not the thread for this, there is a column for scouts that is not utilized. We would love to have the scout names listed there so we do not have to try to figure out the parents names (especially when they are different from the scout's name) to send messages. We know the scout does not have their own email, but it would still be a helpful tool.

    It would be nice if Leaders could pull up the list of their awards recorded in the BSA system. They can check their training but not awards.
    I know there are a lot of Leaders wearing knots that don't reflect in their Scoutnet report because the forms don't get turned in.

    A couple of concerns: 1. as a leader in 2 different councils with 2 different USERIDs, make sure you handle dual registered data in my.scouting (primary and secondary - flips) for both scouts and leaders. 2. labelling the new date feature as "audit" is a bit misleading, I BEG you to give us a full transaction history, even as rudimentary as allowing admins/or an admin to get a stream of each atomic change via email or a daily log of every change, including resetting/wiping data... something that has the time-based changes would be really helpfull.... again I am on the outside, so the variables are probably a lot different... but something like. in "class ScoutAchievements"

    Is there a way to keep messages send from Scoutbook so that I can reference what I sent and what Den Leaders send out to people? As Cubmster, I am supposed to get all emails, but I do not get some (I can be removed, it seems!). And I really need to know what each Cub Den is doing, especially if they are not meeting one night!

    Scoutbook does not store messages. You need to copy yourself on messages you send if you want to retain a copy.

    Am I missing something...I create a calendar event as a service project, mark attendance...I thought that this would automatically be entered in the Scout record, but it does not. It would be very convenient if attendance would equal entry in the proper individual record...camping, service, hiking...if the calendar event is set up as such.

    Kim, the issue with linking attendance to advancement is that Scouts come late, leave early, or don’t participate in every activity. Also, some Requirements may take more than one meeting to complete or get less done than planned.

    We would like to see attendance populate a quick entry screen that can easily be adjusted. But we don’t know when or if that will be implemented.

    We do a number of our event with families and siblings. The events and RSVP process does not allow for a easy accounting for adults/siblings (in addition to the scouts themselves). This is crucial for some events especially when we are ordering food such as the Blue and Gold and Pinewood Derby. We find that we need to use other programs/software for our events for this reason. The current program we use has a pulldown for # of scouts, # of adults, and # of siblings. We are trying to simplify things and use only one platform however, given the current state we can not causing confusion with our parents and leaders. This has been a recurring hot topic from my Den leaders and committee.

    9/17/18(06516) In my Community, and probably yours, we have a lower than ideal participation in Scouting. It seems Scouting is challenged by after-school sports, busy parents and mobile video entertainment of many varieties, some less than ideal. As kids and parents spend more in their screens they miss other activities. I believe Scouting offers a better experiential program for youth and families than any in the USA for the foundation of values and service. Scouting also offers parents and families a platform from which to embed the Scout Law, Motto, Oath and Achievement in the identity of the child. You who are reading this on a BSA platform already know this, so I propose our job, to ensure Scouting exists forever, is to promote Scouting better by making other things second. As parents and children 11-16 is a relatively small time window. My Troop 802 has website (troop802westhavenct.com) and Facebook pages we send out in our community, yet the response remains low. FIVE PROPOSALS---I would like a conversation to develop about what your troop is doing, or is being challenged with. On a national level Councils need to address this with action, as selling popcorn does not do enough to promote the Values and Life Long Benefits of Scouting. Maybe more (1) press releases, (2) Join Scouting Homework Help Club. (3) Join Second Saturday National Scouting Hike Day. (T-@daaavecarr) when all troops in the USA have a scheduled hike. (4) environmental awareness action, and (5) Helping the Hungry in the Community.
