New BETA “Scouting” Mobile App is available now

BSA’s Information Technology Group, along with many volunteer beta testers, are excited to announce a new Mobile App – Scouting.  This free app is available for both iPhone and Android devices.   You can download the BETA today.  Expect to see bugs and issues, that we would like you to report back to us.  This is not a perfect production release.

Search for “Scouting BSA” in the APP Store or Google Play and download today!

Scouting is focused on making it easier for youth and their parents to view and track advancement in the Cub Scouting and Boy Scouting programs—as well as youth recognition in the Venturing program.  

The app ties to Scoutbook.com and pulls existing advancement data with an enhanced user interface.  The offline capability allows parents and youth (13 and older) the ability to access advancement data anywhere at any time. 

The initial release of the app contains the following functions:

  • Track a Scout’s advancement   
  • Submit Finished Requirements to your Scoutbook leader for approval.
  • Track logs like Service Hours, Hiking, and Camping
  • View parent and/or Scout profile
  • Submit Feedback
  • Provide parent access to your Scout(s) account

 

Under settings, the new app also supports user default data settings, and offline capabilities.

Additional features like a Scout community, notifications, leadership, calendar, and Scout challenges are planned to be added and will be gradually introduced throughout 2018.

Report any issues with the feedback feature in the app at the gear icon.

 

EFFECTIVE MARCH 1, 2018 TO APPROVE ADVANCEMENTS FOR A SCOUT IN SCOUTBOOK THE SCOUT MUST BY IN THE ADVANCEMENT SYNC

Effective March 1, 2018, you are no longer be able to approve advancements in Scoutbook for Scouts not participating in the Advancement Sync.  The good news is that you can still activate your unit for the advancement sync.  For information and instructions on how to activate the Scoutbook youth advancement sync, see this page:  http://bit.ly/syncadv

ONCE SYNC’D HOW TO PRINT OUT REPORT FOR COUNCIL AND SCOUT SHOPS

The second video here will show you how to print out the report you need to bring to your council to purchase advancements: http://bit.ly/syncadv  All the councils and scout shops have been notified that they are to accept the unit advancement form from Scoutbook for sync’d units in leu of the form from Internet Advancement.  If they have questions they can send them to Scoutbook.support@scouting.org or advancement.team@scouting.org

 

LONE SCOUTING

From time to time we receive requests to support Lone Scout Friends and Counselors tracking their Scouts in Scoutbook. 

Lone Scouting is a council function not a unit function.  Lone Scouts are not registered into units, instead they are registered at the council level.  It is the responsibility of the council to review and approve all Lone Scout advancements that are reported to them by Lone Scout Friend and Counselor.  Because of this necessity for council due diligence, it is required that all advancements for Lone Scouts be handled through the council service center.  They have tools to enter the advancements.  There are no plans on allowing Lone Scout Friends and Counselors to enter the advancements themselves in either Scoutbook or Scoutbook Lite.

    You can only log in the app BETA if you are in Scoutbook as a parent of a Scout or if you have a Scout account in Scoutbook

    I just logged in fine. Use your Scoutbook username and password. Make sure there are not any spaces after the name.

    This is the first time a large group of people are tying the BETA app, so we anticipate some of these issues to be there. Please send the feedback, it is very valuable.

    Please create a native app for leaders as well. It would be WONDERFUL to be able to receive push notifications when a parent marks off requirements as completed. Right now, I have to login to Scoutbook daily to check and see if anything needs approved. It would also be great to have offline access for the leaders to enter things that we worked on during a campout where we don't have internet access.

    This is correct. The current Scouting app is only for tracking your child's advancement. It is not for leaders to track the unit.

    Why is the app limited to scouts 13 and older when any Boy Scout can have access to the internet version with parents permission? We have a lot of 11 and 12 year old scouts with access to their won records. The scouts also use the messaging app to send messages to other scouts and leaders. I insist my scouts use the Scout Book messaging feature as it guarantees the message complies with the Guide to Safe Scouting by including parents on any correspondence.

    Ken, you are getting this because you are accessing Scoutbook as a web app (icon on your desktop). Access Scoutbook directly in Safari and you will not have this issue.

    The App does not honor privileges set in scoutbook which is a problem, our troop has decided that we do not allow parents or scouts to update their own records but the app still allows this even with priv only to "View Advancement" This will become an issue with how we have chosen to manage our records.

    There is no way to prevent a Scout from updating his own record in Scoutbook once a parent invites him, just like you can't prevent him from checking off the left hand column of his handbook. Also, the SUAC recommends all parents be given full control of their Scouts. Parents that are not leaders cannot approve any advancement in Scoutbook. Parents that are leaders just need to be educated that they should not be approving advancement if that is not their role in the unit. This is Scoutbook, not Leaderbook. Scouts should be encouraged to mark items complete in the app, then when tested, the leader approves the item.

    Will scout book at least put in the option for Lone Scouts and their counselors during registrations with SB. It is still a good tool without the advancement ability and we still like using scout book as a tracking method for ourselves then send what we need to our council.

    Ed , I understand that is your opinion about who should update today, but the app should honor the same privileges set in Scoutbook for parent access, it is not doing that today. The parent I tested was able to record a MB activities with no approval needed by a leader and showed the MB as 100%complete. I already submitted this bug to "scout"ing.org

    So apparently anyone who has access to a scout can add log entries for camping, hiking and Service? I know we are on the honor system here but this doesn’t seem like a good idea. This will open up the possibility that parents or scouts will either wrongly or erroneously report to theses logs. Only an admin should have the ability to enter info.

    It gets very tiresome trying to deal with this website. especially through the mobile app which is really just a redirect to the desktop version of things. It seems like during recharter time, all the wheels fall off the bus so to speak. Someone mentioned that this is scoutbook not leader book. Well guess what, as a leader I use and depend on this since it is what the council decided they were going to push on us, Its very useful and I want it to work properly but I simply cannot trust everything this site tells me as it was showing 6 of my leaders as not even having youth protection done. As a scoutmaster please try to imagine the horror that I felt when I saw this. I've been told that its because everyone is busy with recharters, that excuse is not ok. I have scouts who are about to earn ranks right before their Court of Honor who I am now depending on written docs to support because my AOL kids aren't even showing up in my troop roster yet, even though they crossed over already. Please keep up all the good work. most of us are really happy to have this tool. Its just difficult to explain that all the hard work a scout did couldn't be entered because technology wasn't working that day. I am still showing training that is long since complete that has yet to be approved by whoever approves the scoutmasters training.

    The sync is advancement sync, not roster sync. You need to manually add these Scouts to your unit in Scoutbook. Eventually the BSA will add the capability for Scoutbook to read the BSA's official roster from the person database but until that happens, manual addition is required. Once the Scout is on your unit roster in my.scouting.org you can enable him for sync.

    For training, have you clicked on the sync button on the unit training report? If it is not pulling all the training in, does the leader have multiple BSA#s? If you go to my.scouting.org and enter his BSA# (in Scoutbook) in the search box of the Training Manager under Legacy Tools, does his training appear or do you get an error? Training is not approved in Scoutbook. It is imported from my.scouting.org which is the official record.

    Maybe I’m just getting to this late, but is the scouting app replacing scout book.com? I thought I read that scout book.com was here to stay with more functionality added to it. I thought what was being worked on was a scout book lite?
    Scout book.com is my life blood for my troop. I really need to have more functionality per the adults. There’s no payment options for the adults. We would really love to be able to do everything in scout book.com.

    Den Advancement reports were removed because the BSA did not update them for the 2016 Cub Scout program changes and did not include all rank requirements. You can build your own Den Advancement Report with all rank requirements in Report Builder. See http://bit.ly/2dDln9q for instructions.

    The Scouting app is NOT replacing scoutbook.com. It is just a way for Scouts and their parents to view and update the Scout's advancement via their mobile device. It is not for leaders and as such does not have any approval or reporting capability.

    The reports are not in a PDF format so they cannot be easily emailed or printed. It was a quick and easy way to make sure the parents agreed with what was in the program. I could print the report and take it to the meeting, and also email it out.

    John, there is a Chrome extension called Export Scoutbook that will put report builder results in an XLS file that can then be read by Excel and formatted for printing.

    The chrome extension is blocked on my work computer. Is there a way to put the report builders on the den pages, rather than just the pack page. Also a button to select all Adventures, rather than having to click each on would be nice.

I'd like to combine those that currently use the program and add in the remaining units under one subscription, taking into account the current subscriptions. How do I proceed? How do I get credit for those units that currently have a subscription?

    There is nowhere to click to see what I have to do to correct this situation.

    I can no longer find the Scoutbook app in the app store. I have it on my phone but parents of my new Scouts have asked about the app, and neither they nor I can find it now. What has happened?

    I have two new Scouts, one a 5th grader who has earned his AOL and has been transferred by the Scout Office from his Pack to our Troop, and the other a 6th grader who may have been in a Pack in the past. Both show up in our Troop at my.scouting.com in the Member Manager page. When I try to add their BSA number to their Scoutbook profile, Scoutbook tells me that their number is associated with another unit. So I can't move forward to sync them. What is the solution?

    Contact the parents and the previous units. If they are still connected to these Scouts they can add you as a full control connection then you can transfer them to your unit. If no one has a full control connection, send an e-mail to scoutbook.support@scouting.org with the name, BSA#, your unit # and council and the previous unit #. They should be able to connect you and place these Scouts on your Scoutbook roster.

    Thanks Ed, but that is absurd. If the Council has registered the Scout in my Troop, that should override or trump any prior or existing Pack association within Scoutbook. I consider this to be a huge flaw in Scoutbook. I had a similar problem last month when a 7th grader transferred from another Troop to our Troop. We submitted the youth application to the Council, which triggered his transfer to our Troop, but I had to spend 30 minutes working through this with his prior Troop to get his "membership" on Scoutbook cancelled at his old Troop and then added to our Troop. It turns out that the 6th grader I mentioned in my prior post dropped out of his Pack at least two years ago. Yet his BSA number from a Scoutbook perspective (but not with the Council!) is tied up at his old Pack! This is a huge time suck.

    Hi David, Just sit down with the parents at a troop meeting, have them log into Scoutbook [they may have to utilize the lost password function], and find out if they can add your connection to the scout. If they have full control, they can add you with full control and you can then add the existing scout account to the troop. It is a straight forward process with a good internet connection, if the parents have full control.

    Because BSA has a membership database separate from Scoutbook, there are two systems that need to be updated when a scout moves from one unit to another. Each has its own challenges.

    Currently Scoutbook does not pull data from the BSA's membership database. There are plans for Scoutbook to be able to access the BSA's membership database. The BSA has different databases for different purposes. It takes time to update all of the systems so they communicate.

    David, it’s not that the scout’s bsa Member Number is tied to the prior pack or troop. It’s that it is tied to that scout, and that scout already has an account in Scoutbook. And you want to connect with that account so that his entire scouting career can be reflected by the same account.

    As Ed indicated, we agree that it’d be nice if it just happened automatically when officially transferred. But that takes time. The advancement sync is just the first step toward bringing all the BSA systems more in line.

    Two questions for the experts....is there a way to either get an email when an answer to a question has been posted or is there a way to quickly search to see if an answer has been posted?

    Reason why is I'm sure this has been answered but I can't find it. I asked the forum if a modification could be made to the service logs for Venturing to take into consideration the requirement that half of their required service hours must be with the crew versus personal? I'm thinking a simple check box would suffice and that way the program could calculate the numbers and automatically determine if the scout has met the requirements for that award.

    Is there a way to archive a youth participants record without actually deleting everything? One of our venturing scouts aged out of the youth program with a slew of awards and I need to add them as an adult. However, I don't want to delete everything in case I ever need to access it.

    Your questions are better asked in the forums as there are more people that see questions there than in the blogs, however, I will help.

    At the top right corner of each forum and each forum thread is a slider. Move this to the right so the background is red and you will get an e-mail whenever that forum or thread is updated.

    The SUAC has an open proposal to enhance the logs but at this time we do not know if or when the BSA will implement it.

    Do not ever delete an account in Scoutbook. When a youth leaves your unit, remove connections to all leaders except admins. Make sure the parent has full control and has logged in (completed chain link next to the paren't name on the Scout's page). At that point you can edit the membership to add an end date. The Scout will come off of your roster.

    To convert a youth account to an adult account, have the parent invite the Scout and the Scout log in then send an e-mail to scoutbook.support@scouting.org asking for the Scout's account be converted to an adult account. If the Scout is continuing in venturing DO NOT convert the account to an adult account. Scoutbook currently only supports tracking awards via a youth account.

    interesting that as a Unit Leader I wouldn't have access to Scout Book the APP; and no I don't have an active scout in my troop anymore after my son turned 18. Oh well, I thought it would go hand and hand with me being able to keep track of our scout without having to pull out a Laptop, or go home and turn on the home computer. too bad

    It would be nice if Scoutbook was also an app that Scoutmasters, Committee Chairs and Committee Advancement Chairs could use while on the go. I web in, but everytime I switch to read a txt or an email, I have to re-log back into Scoutbook.

    It sounds like you are using Scoutbook as a web app on iOS (icon on the home screen). The reason you need to log in when switching from Scoutbook is a function of how Apple implemented cookies. If you access Scoutbook in Safari instead of as a web app you will not need to log in each time you switch away.

    There is a plan to update the app for access by leaders but we have not been given a schedule for such an update.

    Tip for those having trouble logging on: uncheck the remember box on the log in screen. After doing that we had no trouble logging in. My husband is also less than thrilled with the no access to troop overall. He'd like to be able to have access to who needs which requirements on the fly for when plans change (his example: if we're stuck under an overpass for two hours waiting on weather to clear we could be knocking out some requirements while we wait).

    This app is interesting, but it does seem to be only for a parent to view his own boys. I'm a committee chair and a troop admin, and I don't have access to any other scouts. Also, our old chartered org is still listed for each of my scouts (Scoutbook.com shows our correct CO). Also, I cannot seem to get back to the home screen. I appear to be trapped in my first scout's page. I cannot make sense of how I should use this app. I won't advertise this to anyone in the troop until this becomes a better, more intuitive and comprehensive app. Until then, I'll just keep using Scoutbook.com.

    Sean - the app is only for parents and their scouts. There is an bug opened right now as some chartered organizations are not showing correctly. We have found the resolution and are testing - should be to production soon. To go back to the home screen you just need to select profile at the bottom of the screen (the first one on the left). You transfer between profile, my advancement, and setting across the bottom of the screens. The my advancement is the middle icon. That will show the select scouts advancement.
