ALL SCOUTBOOK UNITS MUST ACTIVATE YOUTH ADVANCEMENT SYNC

All units that use Scoutbook must activate the youth advancement sync now.  Don’t procrastinate!  Don’t wait until the last minute; and definitely don’t wait until the week you need to purchase your advancements!  If advancement sync is not activated for your unit by March 1, 2018, you will no longer be able to approve advancements in Scoutbook.  We do not anticipate extending the deadline.   For more information and instructions on how to activate the Scoutbook youth advancement sync, see this page:  http://bit.ly/syncadv

ONCE SYNC’D HOW TO PRINT OUT REPORT FOR COUNCIL AND SCOUT SHOPS

The second video here will show you how to print out the report you need to bring to your council to purchase advancements: http://bit.ly/syncadv  All the councils and scout shops have been notified that they are to accept the unit advancement form from Scoutbook for sync’d units in leu of the form from Internet Advancement.  If they have questions they can send them to Scoutbook.support@scouting.org or advancement.team@scouting.org

PROGRESS ON SCOUTING APP

The new Scouting App that will be available for Scouts and Parents to track and maintain advancements is in quality assurance testing.  We expect to roll out in BETA within the next few weeks. Stay tuned here for more information. 

SCOUTBOOK LITE

There appears to be some confusion related to the upcoming launch of the new Scoutbook Lite platform for Unit Leaders.  Scoutbook Lite is not an upgrade nor a replacement for Scoutbook.  Scoutbook Lite will initially serve as a free replacement for Internet Advancement. Later, Scoutbook Lite will have a few additional features that enable unit leaders to record service hours, camping trips, and hikes for unit members.  In the future, Scoutbook Lite will also sport features to support unit charter renewal.  Scoutbook Lite will not be available for a few months.   There will be plenty of information communicated prior to its release. 

UPDATED BOY SCOUT REQUIREMENTS

Scoutbook has been updated to reflect the 2018 Boy Scout Requirement Changes.  Requirements listed in the Boy Scout Requirements book for rank advancement, Eagle Palms, and merit badges are the official requirements of the Boy Scouts of America and are effective Jan. 1, 2018, through Dec. 31, 2018. However, these requirements might not match those in the Boy Scout Handbook and the merit badge pamphlets, as the Boy Scout publication is distributed on an annual basis. The most current and any updated merit badge requirements can be found at www.scouting.org/meritbadges.

    My pack is all synced and shows an A by all the boys. I ran the purchase order and things looked great on the report but it's been a week and the adventure loops and rank advancements don't show up in internet advancement, should it? If so, what do I need to do now?

    You need to click Start Over then Load Roster every time you go back into IA in order to refresh the data. IA is only a snapshot of what is in ScoutNET.

    I need clarification before roundtable. I have some troops who have not signed up for scoutbook as there is a cost associated so they are wanting to wait for whatever scoutbook lite will be. I'm encouraging them to not wait as we don't know when lite will be out and from what I can tell this far an account for lite will be limited in functionality that only and be done via scoutbook eg the advancement chair would need the full app. Am I on target?

    Keith, you are correct that Scoutbook Lite will not have all the features of Scoutbook.

    If a unit is happy with their current advancement tracking and reporting process, they may choose to stick with it, and just replace Internet Advancement with Scoutbook Lite when the time comes.

    That said, if Advancement isn’t getting reported properly to Internet Advancement, the great thing about Scoutbook is that it’s now automatic.

    If you are asking about using Scoutbook the way you have in the past, no, without activating sync, after March 1 you will no longer be able to approve any advancement.
    If you are asking about using IA and manually entering the data, yes, you will be able to use IA until it is replaced by Scoutbook Lite.

    Ok, i think we're ok.

    Because of the recharter right now we aren't using Scoutbook other than looking at it and thinking "isn't this neat?" We wanted to use it but it became apparent that getting everyone on board with it this year wouldn't really work.

    We still currently use Scouttrack for advancements as that's what everyone is familiar with. It connects to IA behind the scenes so I'm guessing everything will be fine. At least until Scoutbook Lite replaces it like you said.

    As of March 1, Scoutbook will not connect with IA "behind the scenes" unless you activate sync. After March 1 you will not be able to approve anything without activating sync.

    I'm having issues obtaining the instructions. I access Scoutbook on my mobile and the PDF that comes across is too small to read. When I attempt to access from my work laptop, I'm blocked from accessing the file because it's location is blocked by my company's internet protocols. Are there instructions that can be read from a mobile device?

    We have a scout that has transferred to a different troop. Now that troop is showing up on My Dashboard under My Units. How do I get rid of this new troop from My Dashboard? I have gone into the new troop and removed all of our old troop connections from that scout but his new troop is still showing up.

    Craig, when you look under My Dashboard -> Administration-> My Account -> My Connections, do you see the former Scout listed there? If so, you will need to remove your connection to the Scout. Look to the right of your screen, and you should see a black "x" that you can click on to remove your connection. After you do this, if the troop is still listed on your dashboard, try logging out and logging back in again.

    So in my.Scouting.org I was delegated a Key 3 by the COR to conduct the sync. He has triple checked and everything is showing that I was delegated Key 3 on his end in his my.Scouting.org account, but it does not show up as such when I log in to my.Scouting.org account and Scoutbook.com will not verify me as a Key 3 delegate. Anyone else run into this issue?

    So a fear is heard. Looking for clarification...
    Rumor is that if scoutbook and IA are not matched, as in the fact that they have not been updated at the same rate as each other. Once the sync is started and completed that some dates and data would be lost? Is their a possibility that the information could be lost and then we would be back to square one on having to find dates of completions and such?

    What happens is that once sync'd any approved advancements that are in Scoutbook that are not in Internet Advancement will be copied to IA. And visa versa.

    Our Troop is still awaiting a new charter to be updated (one of like 600 in our council). We cannot 'Validate' in your system until then. What is the repercussion if we miss the deadline other than "no longer be able to approve advancements in Scoutbook"...?

    That's it Jeffrey, you won't be able to approve the advancements of Scouts who are not sync'd. You will still be able to track them and mark advancements complete.

    Note, you don't have to wait for recharter to be complete before syncing: If you have a Scout who is not officially on your council roster in my.scouting.org, or is currently inactive and you do not want to track in Scoutbook, you can still activate the sync for your unit. Un-approve these scouts by clicking on the Scout in your Scoutbook roster, click on the menu item [Scout]’s Membership, Click on your unit under Current Membership and then uncheck the position approved box click update. Also go into the Scout’s Leadership area and end any leadership positions the Scout has. The Scout will stay on your roster, but you can then sync the rest of the unit. Also contact your local council registrar at your council service center to have them added to your official roster. Then when they are in your official roster, you can add their membership ID to their profile and approve them in their membership area. Then you will get a prompt to add them to the sync. In the meantime, the rest of your unit will be in sync. You can also opt to re-approve the Scout and not sync for the Scouts not yet in the official unit roster. This will give you the ability to track them while waiting for them to be registered and to sync.

    Ok, I am new to scoutbook. Other leaders in my unit have used it before and are urging me to set it up for the pack. I am the cubmaster but for some reason myscouting won't allow me to be the Key 3 delegate. Is there a reason for that? I can put another den leader as the Key 3 but not myself. Is the easiest way to designate a den leader as the Key 3, then have them get into scoutbook to sync with internet advancement? Also, is scoutbook going away? What is the talk about the March 1 deadline to sync.

    Nick, if you are the Cubmaster according to my.scouting.org, you do not need to make yourself a key 3 delegate because you are automatically a key 3.

    Is someone else set up as a Scoutbook admin in your pack? If so, they'll need to add you as a pack admin before you can do all setup work.

    For additional info on using Scoutbook, we have a bunch of user guides that can be accessed by clicking the Scoutbook User Advisory badge under my trained badge to the left.

    I have autosync up and running and all is good so far. There was a miss on two boys somewhere in the registration process, but that is resolved. The boys now show in IA ( after reload ) but trying the enable autosync says they were not found on the BSA roster.

    How long does it take between the time we able to see a boy in IA ( properly registered) and the time that autosync for that boy can be enabled in Scoutbook. ?

    I have a number of crossovers coming in the next 1 month ( one is already xfered in SB ) so it would be good to know how long once a registration is handled by council and the time that I can enable autosync on them....

    Douglas, Scoutbook is looking at the roster in the Member Manager at my.scouting.org (my.Scouting Tools), so usually within about 24-48 hours after a Scout shows up on the roster there. If online registration is an option in your council, that's usually a good way to get Scouts on the roster quickly. Unfortunately, I don't think transfers can be done using the online registration system yet.

    I have completed the sync and it worked well. However the leaders that have moved on or transferred councils are still on my roster. Since they had accepted the e-mail invite, I can not update their profile or delete their account. Help!

    Renee, from your Troop Roster page, go to the Connections Manager and remove their connections to all Scouts (except their own - they should have Full Control connections to their own children). Next go back to the Troop Roster page. Click on an adult leader's name, click on their Current Troop [XXX] Positions and Roles, put in a Date Ended for their position, check the box next to "Position Approved", then Update.

    We are a recently new Troop. Some of our Scouts transfered over. I have been told that those Scouts have been dropped for the previous Troop. But when I put in their BSA numbers I get a box that pops up and says they are still linked with their old Troop. How do I fix this?

    If their parents were connected to these Scouts with full control, they can add your unit to the membership of the Scout. If they don't one of the admins from the old unit may still be connected and be able to add you as a full control connection. If that doesn't work, send an e-mail to scoutbook.support@scouting.org. Provide the Scout's name, BSA#, your council and unit number. Ask them to add the Scouts to your unit and connect you with full control. You can then delete the "new" record you created for the Scout.

If not, email scoutbook.support@scouting.org and ask them to move those scouts into your unit subscription. Provide all your troop details and your own info as well.

    Think about this: after you have activated sync for your unit (and all the scouts you have showing registered in the membership manager and internet advancment tools), everything that they have recorded in internet advancment is now in the scoutbook database. From that point on you will be using scoutbook to record all advancments, as units who have activated Scoutbooks ScoutNET sync are directed to use scoutbook and not internet advancment from then on. Yes, your Scoutbook data should eventually show in IA, but there is a delay of anywhere from an hour to a day or more to sync the other way. We really don't have to worry if a scouts data from scoutbook does not show in IA from that point on anyway. Once scoutbook-lite comes out, the Internet Advancment tool and the database it uses (ScoutNET) will be retired and there will then be no sync happening to worry about. The advancement database that Scoutbook and Scoutbook-Lite uses (Akela) will replace the ScoutNET database as the official BSA Advancment Database of Record. In fact, if you have already activated sync now for your unit, you can consider that what shows in Scoutbook database is already your official advancment database of record and using or checking IA for validation is no longer necessary.

    How do I archive a boy? I was told in order to sync if a boy is not on my charter I have to archive them then sync and in-achieve them later. How do we sync if the charter is done and it has not been entered by the BSA? I have sent many emails and have not got a response to any of my questions.

    To enable sync, go to the Membership page of the Scout(s) that is not on your BSA roster, click on their membership for your unit, clear the Approved check box and click Update. After you enable sync, go back to these membership pages and restore the Approved check box. Once these Scouts are on your roster, you can enable them for sync by clicking on a link that will be on their main pages.

    I don't see the option to import new scouts from our Scoutnet roster anymore. If we have a new registered scout should I manually add him and then add their BSA number to that profile or will scoutbook eventually pull the data in for us since our pack has the youth advancement sync enabled? If so, Will I still need to add to den from the existing pack or will they import into the correct den?
    Its been a few days since 1 of the applications were approved and the scout showed up in scoutnet.


    I do know this is a bit of a repeat question but I've read the posts above and am not 100% clear, sorry

    Dan, the advancement sync only syncs advancement - it doesn't sync other membership data. You will need to add your new Scouts manually for now (I would recommend that you use the "+Add New Scout" button underneath the Scout roster on the den page).

    Once they appear on your roster at my.scouting.org, copy & paste their BSA ID # into their Scoutbook profile, and you will be able to activate them individually as part of the advancement sync. (In some cases, there might be a delay of about 24-48 hours between when they show up on the roster at my.scouting.org and when you are able to activate them at Scoutbook.)

    Dan, yes. The ScoutNET roster import was only intended for initial unit setup. Units doing multiple roster imports was causing unintended consequences, such as duplicate Scouts. The volunteer created and supported Feature Assistant Extension might help out if you have a bunch of new Scouts and parents to add. Gary is working on a solution for this situation:

    There are no plans to charge for Scoutbook Lite. "Initially" only referred to the advancement aspect... the replacement of Internet Advancement. Down the road, the additional features (replacement of other my.scouting tools) in Scoutbook Lite will still be free.

    I have a fairly large troop, and one boy who has recently moved in. He is showing up in Scout book, but does not have advancement sync icon next to his name. When I try to activate think, it says that he is not found on the official BSA unit roster. How do I fix that? I suspect he's still on the roster of his previous BSA unit.

    James, a transfer application will need to be turned into your council. Then, once the new scout shows up in Member Manager on my.scouting.org you can edit his profile to add his BSA Member Number. After that, you can activate sync for him.

    Kelly, it likely has to do with your default position in Scoutbook being Den Leader. Are you also a Cubmaster, Committee Chair, or Chartered Org Rep? If so, make that your default position per the instructions Ed referenced.

    I need some scoutbook support visibility on an issue. One of my Webelos was successfully synced in January. His mother registered as an adult leader about a month later. In processing the mother’s registration I believe the Council somehow entered the mother’s birthdate as the son’s. Predictably, Scoutbook will not allow rank advancement for a 36 year old Webelo. The Council corrected the birthdate error in their database but Scoutbook doesn’t reflect the change. The Council tells me to resync from Scoutnet, but I see here that the roster sync is now only coded for initial unit setup. Should I delete the scout’s Scoutbook account and start over or will Scoutbook support be able to correct the scout’s birth date?

    Dave, please do not delete the Scout's Scoutbook account. Take the Scout out of the advancement sync temporarily. Here's how: go to [Scout]'s Membership, uncheck the box next to "Position Approved", then Update. Go to the Scout's Edit Profile and you can fix the DOB. After you have fixed it, go back to [Scout]'s Membership and check the box next to Position Approved.

    I have several scouts whom transferred to troops in my area. The troops have no plans to join scoutbook. The youth are currently synced with national "Activsync" and I have gone through the process of assigning them to the what would if they would be the troop and removed all by myself and the parents as permissions in connections manager. is there anything I have left to do after marking them active with that new unit and entering the date for their transition to the troop? I ask as in a little over a month I will be transitioning four more scouts to most likely these same troops. My assumption is they will not be lost in some database but will be picked up somewhere for the new achievements they gain as a boy scout would be counted. In short; Is there anything more I can do with the accounts, as the troops do not want scoutbook, as the gaining units believe they will still be able to upload to the national database for all foreseeable future.

    We have a current unit subscription, we have 6 Unit Administrators 4 of which I know to be active and our unit IS properly matched with a current BSA unit roster.

    We DO have at least 3 of the admins that HAVE already logged into scoutbook AND they do ;have the 2 key icon. You stated in your message above that we have the unit key 3 in scoutbook. Should there be an icon with 3 keys next to their name? If so, we do NOT have someone like that. We DO have a scoutmaster, CC but they do NOT have the 3 key icon next to their name, ONLY 2 keys. We do not have a COR in our Scoutbook however.

    What is required is that you have one person with the position of Scoutmaster, CC, or COR (or a key 3 delegate) to activate the sync.

    Separately you need to have three total adults in Scoutbook with the leadership position of Troop (Pack or Crew) Admin (in addition to whatever other position they hold) Those three need to have logged in at least once. You can be one of them.

    These are two different requirements.

    If you want to do a ScoutNET roster import, you should do this before activating the advancement sync for the unit. The ScoutNET roster import should only be done when initially setting up the unit, because doing multiple ScoutNET roster imports can create duplicate Scouts. The advancement sync only syncs advancements - it does not sync membership data.

    Are there a lot of Scouts in your pack? If so, then it might be easier for you to send an e-mail to scoutbook.support@scouting.org and ask them to take the pack out of the advancement sync so that you can do the ScoutNET roster import.

    If the pack is not very big, then it might be faster for you to just add Scouts manually or cut & paste them from the roster at Internet Advancement or my.scouting.org. Another option is to use the Feature Assistant Extension for Scoutbook to import Scouts and parents. Information on the Feature Assistant Extension can be found at the following url:

    If you encounter a Scout where Scoutbook says that another Scout in the system already has that member ID, first go to My Dashboard, Administration, My Account, My Connections and see if there is a duplicate Scout there that ad been deleted. If so, you can click on them, edit their profile and remove the Member ID. Otherwise, send an email with the details to: Scoutbook.support@scouting.org include the Scout’s name, member ID and your unit information and council name. While you are waiting for them to be corrected, follow the next step and activate the rest of your unit.

    You do not need to wait for rechartering or new Scout registration to be complete before syncing new Scouts. If you have a Scout who is not officially on your council roster in my.scouting.org, or is currently inactive and you do not want to track in Scoutbook, you can still activate the sync for your unit. Un-approve these scouts by clicking on the Scout in your Scoutbook roster, click on the menu item [Scout]’s Membership, Click on your unit under Current Membership and then uncheck the position approved box click update. Also go into the Scout’s Leadership area and end any leadership positions the Scout has. The Scout will stay on your roster, but you can then sync the rest of the unit. Also contact your local council registrar at your council service center to have them added to your official roster. After you sync your unit, You can to re-approve the Scout and not sync for the Scouts not yet in the official unit roster. This will give you the ability to track them while waiting for them to be registered and to sync. Then when they are in your official roster, you can add their membership ID to their profile and approve them in their membership area. Then you will get a prompt to add them to the sync.     I called the Great Salt Lake Council. They explained it in a way that I could understand it. I will have to wait until my application is entered into the system. Once that is done in 10 days. I will be able to go back in and re put myself in. Then I will enter each boy again. Once the name is entered it will go out and get all completed work and attach it to that boy. I am keeping record of what the boys are part of the way done with so I can re-enter it. The particle completion will not be kept. This is what I had been trying to find out. I was afraid I would have to enter all the work again. I do not know if I asked the question wrong it is was being misunderstood about what I was asking.

    I have a few scouts that were mistakenly awarded MBs last year that were recorded in IA. When we completed the sync to Scoutbook those MBs transferred over to scoutbook as awarded. So I removed those MBs from the respective scouts in Scoutbook, everything looks correct in Scoutbook now. However, I then relogged into IA, clicked 'Start Over' and the MBs still show up in IA for those scouts. How can I ensure that the mistakenly awarded MBs are removed in IA for these scouts?

    Lydia, you are not required to change to Scoutbook. At present, if you have a process that you like that does not involve Scoutbook, you are free to continue using that.

    In the future, Internet Advancement will be replaced by Scoutbook Lite, which doesn’t exist, yet.

    Jake, it sounds like you are trying to activate the advancement sync for your unit. Which step are you having difficulty with - the Verify yourself step?

    If you run into problems at this step here are some things to look into:

    a. If Scoutbook says that it can't verify you, but you can log into MyScouting Tools http://my.scouting.org fine with your login and password, make sure your current membership ID that on your BSA roster is the same as in your profile in MyScouting tools and Scoutbook. And your profile in my.scouting.org shows you as registered in one of the key 3 positions. Your BSA roster can be found in Internet Advancement, in Member Manager at http://my.scouting.org or by calling your council Registrar.

    b. If it does, check the Manage Member ID tool: log onto http://my.scouting.org from the pull-down menu and go to Legacy Tools; then Manage Member ID. Make sure the member ID that is on your unit roster is there and is set to Primary. If not, add it and set it as Primary.

    c. If after trying the two steps above, you are still having difficulty, send an email to: scoutbook.support@scouting.org explaining your issue, and the account names involved.

Before we had to print the Internet Advancement form to be signed by the Board and Council members that was submitted with the application and binder to be finalized. What is the protocol now?     Shannon, you have to wait 24 hours after they appear on the troop's Member Manager roster at my.scouting.org. You will have to add them manually, because the advancement sync only syncs advancements - it doesn't sync membership data.

    On the other hand, if the pack that they came from used Scoutbook, all you should need to do is transfer them from the pack to the troop in Scoutbook. Here are the steps:

    1) Have a Pack Admin add you as a connection to each of the Scouts as an adult leader with Full Control permissions.
    2) Have a Pack Admin use the pack Connections Manager to remove all other connections that are no longer needed (except parents and Pack Admins).
    3) Then you can go to each [Scout]'s Membership, put a Date Ended on their membership with the pack, and then add the current membership with your troop. You should see a green shield with a checkmark on their Current Membership with your troop. If you don't see it, you need to click on the Scout's Current Membership with your troop and check the box next to Position Approved and Update.
    4) If the connections to the Pack Admins are no longer needed, you can go to each [Scout]'s Connections and Delete Connection.

    I feel the way the Awards Sync roll out was handled was poorly timed and a bad move. We pay for this software and in our council there is zero utility from the Awards Sync or even from IA and only holds frustration. If we could have OPTED OUT we would have. When we start a new school year we could have turned this on IF our council would honor it.
    Instead, we are stuck having to use paper and pencil making our high tech software not much more than email list tool. Why can't we OPT OUT? What on earth would make you want to disrupt a Pack in the middle of the school year?

    I’m trying to add new boys into our Pack after the sync, but it will not let me. I am a key 3, but when I try to activate it tells me it won’t work because the boy does not have a member # on his profile. These are brand new scouts being added to a wolf den. Where do I get the member #?

    Our unit did advancement sync a couple months ago. We now currently have 3 new 11 year old scouts who came up from our Cub Scout unit recently, who, when I try to activate their advancement sync I get the following message, "Advancement sync activation failed for the following reasons: Scout was not found on official BSA unit roster."
    The boys were all chartered with our unit last year and we have had other boys who came up from cubs as well, but I was able to activate their sync with no problems. Any ideas?
