Because of a delay in processing some charters, Scoutbook will move the sync activation due date to Feb 28, 2018. Most units should still be able to activate the sync even if their recharter has not been processed. See the instructions here: http://bit.ly/syncadv If you have any questions about the Sync please send an email to: Scoutbooksync@gmail.com.

We do not anticipate moving the date again. If you have not already done so, please activate the sync for your unit today.

    I would suggest BSA improve the recharter process as we turned ours in back at the begining of Dec and we still are not able to syn most of our scouts due to the fact they are not on the BSA roster.

    Michael the right venue for that conversation is with your DE at a District meeting. The DE can take the concern to have DC's and other ADC's augment the volunteer staff at Council for the change in council policy needed at the end of the year.

    Steve, this particular issue may take some back and forth to figure out. Please post any follow-up questions in the Using Scoutbook forum.

    The units that show up are based on your leadership positions and your connections. Most likely, a scout that you are connected to ended up in each of those extra units. Go into that extra unit and try to transfer that scout to your real unit. After doing that log out and then back in.

    Our Advancement Sync is working. Thank You. Our committee has two concerns could you please clarify
    First, the paper work that the advancement chair would prepare for the council no longer is needed?
    Second, Blue cards still need to be submitted in person?
    The committee wants to be sure that all the paperwork is still being kept for the Scouts records.

    Hi, we recharted in January. I am the new Comm. Chair. However, I am not updated via title in Scoutbook as the key three. The person whose spot I took is still listed. How can I have the change made so that I can proceed with the Syn? We are all clear and recharted in January at the BSA local level and they have approved us.

    You can change your position in Scoutbook by going to Administration -> My Dashboard -> My Account -> My Positions. If you are not a unit admin, an existing admin (2 keys in the unit roster) will need to approve the position change. If you are an admin then nothing additional needs to be done. In order to complete the Key 3 sync step, you will need to be a unit admin so if you are not, have an admin add the role for you at the same time they approve you as Committee Chair.

    How do I remove a scout from my Pack? I get - "Scouts who are activated with advancement sync cannot be deleted. Please contact Member Care if you need to remove this scout." So everytime I have a scout who leaves our pack for some reason, I have to do this? If the answer is yes, that is a HUGE inconvenience.

    Whats the contact info for "Member Care"?

    Advancement synch issue, need assistance! I activated advancement synch for the Pack last month. Since then, I have 6-8 new Scouts that joined in December, who we’ve added in Scoutbook, but have not been entered in the BSA system. I still do not have BSA numbers for them. When I try to add and approve an advancement requirement in Scoutbook for them, I get a message that says they have to be synch’d. Bottom line, I can’t do nothing for them until the Council gets through the piles of recharger packets and gets them into the system. I thought Scoutbook was supposed to override the BSA system? Not sure if I missed something during the activation, but any help on what I can do is greatly appreciated.

    Troy, for your scouts who are not sync'd, you can mark things as complete. You just can not approve those items until the scouts are sync'd. We are having the same issue with one scout. His paper application is in the council office waiting for the recharter process for all units in the council to finish. We received the app in Dec, turned it in in January, and it will be late Feb before he is registered. This delay makes online registration look good.

    The issue with Scouts not on your official BSA roster and Scoutbook not allowing them on the PO is no different than when you used Internet Advancement to print an advancement report to purchase awards. If this is becoming an issue, I suggest contacting your council, explaining that you can't purchase awards for your new Scouts and ask them to process the award ASAP. A Scout should not be penalized because the Council isn't doing its job in a timely manner.

    Troy, to address your other thought about Scoutbook overriding other BSA systems, the sync is only an advancement sync. There is no membership data exchanged.

    As Doug indicated, you can mark things complete without checking the leader approved box. Then, once you have the BSA Member Number and can activate sync for the scouts, you can approve everything in the Needs Approval Report.

    Yes, but you can’t add those items to the “needs purchasing” report or mark them as awarded. In other words, the way we used ScoutBook before (tracking our scouts from the moment they start) no longer works. Even though we pay for it, the advancement sync has crippled ScoutBook from being useful until 30 days after a scout signs up. And it requires den leaders to keep separate records for brand new scouts.

    Blaming this on councils is not a “fix”. It doesn’t matter if council sees the data for a month, it’s the unit that awards the boys, and ScoutBook has always made it easy for the units (who pay for it!), until now. This is a problem.

    It should be like the leader training entry. The unit enters it and the sync happens once it matches council records. The unit knows whether training was taken, just as the unit knows whether a new Cub Scout earned a belt loop. A Pack shouldnt need a database link ( which may not be updated yet due to multiple delays) to tell them it’s not permissible to recognize new scouts without a delay or lots of extra work.

    Jeff - let me ask.you this...how would you have awarded items for saud scout if you were just using internet advancement? You would have zero way of noting items because the scout does not exist in the system. Same thing....

    For those folks who do not like the processing delay in getting a scout's paper application entered into the council/national database, is online registration an option for your unit? It is as close to immediate as we have; the parent enters the info and the unit has to approve. Council does nothing, once the process is set up.

    Scoutbook only syncs advancement not Scouts. You need to add him to your roster by clicking +Add on your unit or a patrol roster. After adding him, you can click on a link that will appear on his main page to activate sync.

    I am assuming the position of Scoutmaster with a small troop. As best I have been able to determine, the previous Scoutmaster did not keep a roster or advancement tracking record - he depended on the Council. Am I correct to assume that Scoutbook does not sync registrations/rosters with the Councils? In other words, I need to build my own troop roster in Scoutbook from scratch?

    Gordon - as you are in first time mode what you can do is a roster import from scoutnet. I would however suggest that someine check all advancements there in internet advancement to be certain it is correct. If there are errors they can be fixed by removing dates and approval in Scoutbook. Leader and parent additions will be manual entry.

    Gordon, as Stephen recommends, the ScoutNET roster import is a great way to get your Scout roster set up. This import will bring in their names, DOBs, BSA ID#s, as they appear on your unit roster at Internet Advancement (IA). It will also bring in their ranks, merit badges, and awards.

    Go to these Scout's membership page, clear the Approved check box then click Update. After you enable sync, you can restore the Approved check box for these Scouts. Once they are on Member Manager in my.scouting.org, you can activate them for sync.

    I have the requirements and now I am getting this error. The box for Unit Setup is not green but everything else is. "You must have a current unit subscription with at least 3 active Unit Administrators. Your unit must be properly matched with a current BSA unit roster." I have a current subscription. What was holding me up before was the Key 3 and now they are all verified? I don't understand the issue now. I need help, please.

    I just synced our cub pack. Our scoutmaster is working on syncing the troop info. He has asked for my help. I am the committee chair for both pack and troop.

    We both have the same unit number, same sponsor, etc. We can not see each others information.

    How can I import and view the troops information?

    Hi Andy,

    Go to My Dashboard -> Administration -> My Account -> My Positions

    and add your position as Committee Chair for the troop there. Make sure that you check the box next to "I agree to join the unit leader roster." After a Troop Admin approves your position as Committee Chair in Scoutbook, you will have access to the troop. A Troop Admin can also add you as a Troop Admin, which might make helping the Scoutmaster easier.

    After your positions / roles are approved by a Troop Admin, you might need to log out of Scoutbook, and then log back in before you see both units (Pack 817 and Troop 817) under My Units on My Dashboard.

    My pack is all synced and shows an A by all the boys. I ran the purchase order and things looked great on the report but not ALLthe adventure loops and rank advancements show up in internet advancement? In IA, I did click "start over" to update and advancements still do not show up. What do I need to do now?

    Lydia, you are not required to change to Scoutbook. At present, if you have a process that you like that does not involve Scoutbook, you are free to continue using that.

    In the future, Internet Advancement will be replaced by Scoutbook Lite, which doesn’t exist, yet.

    If you are already a Scoutbook user, your troop is required to activate the advancement sync. Instructions can be found here: http://bit.ly/syncadv
